The Office Coffee Upgrade: Matching the Right KayRin Roast to the Right Bean-to-Cup Machine

Great office coffee is two decisions, not one

Most offices shopping for a coffee machine spend weeks comparing screens, features and prices. Then they fill it with whatever beans are cheapest. The result is a R40,000 machine making ordinary coffee.

A bean-to-cup coffee machine only grinds and brews what you put in the hopper. The machine sets the convenience; the beans set the taste. After 17 years of roasting in Cape Town, we’ve seen both halves of that equation from every angle.

This guide walks through both decisions: which bean-to-cup machine suits your team size, and which KayRin roast to put in it.

Why bean-to-cup works for offices

A bean-to-cup machine grinds whole beans fresh for every cup, then brews and froths milk at the touch of a button. Nobody needs barista training, and the tenth cappuccino of the day tastes like the first.

  • Freshness: coffee is ground seconds before brewing, so none of the aroma is lost the way it is with pre-ground coffee.
  • One-touch menus: espresso, americano, cappuccino, latte and more from a touchscreen.
  • Consistency: every cup is dosed and brewed the same way, whoever presses the button.
  • Lower cost per cup than capsules: you buy whole beans by the kilo, not coffee in single-serve pods.
  • Less waste: no pods to throw away, and used grounds can go straight into the compost.
  • Easy upkeep: built-in automatic cleaning keeps daily maintenance to a few minutes.

Choosing your machine: start with cups per day

The most important number is how many coffees your office makes on a busy day. As a rule of thumb, allow two to three cups per coffee drinker. A team of 10 needs 20 to 30 cups a day; a team of 40 needs over 100.

1. Saeco Royal OTC: the small-office workhorse

The Royal has been around for over a decade and has a reputation for reliability. It is rated for 20 to 30 cups a day, ideal for a team of around ten. Its small footprint and low height fit easily under kitchen cabinets. Steel conical burrs give an even grind, and a separate hot water nozzle handles tea.

2. Gaggia Cadorna Prestige and Magenta Prestige: café drinks for small teams

Both machines froth milk in an integrated carafe at one touch, then rinse it automatically. The carafe can go in the fridge between uses. The Cadorna Prestige offers 14 drinks and 4 user profiles, so each person can save their favourite. The Magenta Prestige offers 12 drinks at a lower price. Both have a bypass doser for pre-ground coffee, handy for a decaf option.

3. Gaggia Accademia: the boardroom showpiece

The Accademia pairs a black glass façade with a heavy metal brew head and 19 customisable drinks. It has both a milk carafe for one-touch drinks and a steam wand for latte art. A cup warmer and 5-inch touchscreen make it a strong choice where clients are served.

4. Mythos Echo: built for the busy office

The Echo is rated for up to 120 cups a day, the right step up for larger teams. It has a 7-inch touchscreen, more than 20 programmable drinks, a 750g bean hopper and a large 6L water tank. Every Mythos machine comes with cleaning tablets and milk frother sterilizer to get you started. Onsite installation and training are not included in the price.

5. Saeco Magic M1: premium coffee for premium spaces

The Magic M1 from Saeco Professional is designed for offices, hotels and conference centres. It combines coffee, milk and hot water in one dispenser, with a silent milk frother and patented cleaning system. A variable 8.5–15g brew chamber handles anything from a light coffee to a strong double. MDB compatibility means it can connect to a payment system in shared spaces.

Useful extras

Have a barista, or want one?

If your office runs an in-house coffee bar, a traditional espresso machine may suit better. Our office range includes Lelit, Rocket and Gaggia espresso machines, up to the commercial Phoenix A2 (R63,200).

The KayRin roasts: what to put in the hopper

Every KayRin coffee is 100% Arabica and roasted fresh in Cape Town. We roast each origin separately before blending, so every bean is taken to the point where it tastes its best. For bean-to-cup machines, always order whole beans, never ground. The machine does the grinding, and whole beans stay fresh far longer.

1. Caffe Origem: the espresso all-rounder

A well-balanced, full-bodied South American blend lifted with beans from Ethiopia, the birthplace of coffee. It has an earthy aroma, sweet mild chocolate and a rich crema. Origem was built for espresso, so it shines in cappuccinos and lattes. Our first choice for most office machines. Shop Caffe Origem

2. Caffe Deno: the crowd-pleaser

A full-bodied blend of Latin American and Indonesian coffees. Expect a seductive aroma, rich chocolatey flavour and a crisp, refreshing finish. Deno works just as well black as with milk, which makes it ideal where tastes vary. Shop Caffe Deno

3. Brazil Barbosa Gold: the smart everyday choice

A smooth Brazilian single origin and our most affordable coffee by the kilo. It is a sensible pick for high-volume machines where cost per cup matters. Shop Brazil Barbosa Gold

4. Single origins from around the world

For offices that like to explore, we roast single origins including Colombia Popayan Supremo, Guatemala SHB EP, Costa Rica Bromelia Fancy, Nicaragua Rajuanse Estate and India Plantation A.

5. Best of Africa: a coffee of the month for your team

Our Best of Africa range showcases coffees from across the continent: South Africa, Ethiopia, Kenya, Rwanda, Burundi, Tanzania, Uganda and the DRC. The South Africa blend is smooth and chocolatey with low acidity, a natural fit for milk drinks. Rotating a different African origin each month gives your team something new to talk about at the machine. The Best of Africa selection box (6 x 250g) is an easy way to taste them before committing to a kilo.

6. Decaf for the afternoon

Our Colombia Decaf CO2 is decaffeinated using a CO2 process that keeps the coffee’s flavour. The Gaggia Cadorna Prestige and Magenta Prestige have a bypass doser, so you can brew ground decaf without emptying the bean hopper.

What it costs per cup

Freshly roasted coffee costs roughly R3 to R3.50 per cup in a bean-to-cup machine, before milk. A typical bean-to-cup shot uses about 8g of coffee, so a 1kg bag makes around 125 cups. At R399 for a kilo of Caffe Origem, that works out to about R3.20 a cup. Compare that with R40 or more for a café cappuccino down the road.

Five tips for better office coffee

  1. Buy whole beans in 1kg bags and order little and often, so the coffee in the hopper is always fresh.
  2. Store beans airtight, away from heat and sunlight. Never in the fridge.
  3. Fill the hopper daily rather than weekly. Beans sitting in an open hopper go stale.
  4. Clean the milk system every day. It keeps drinks tasting clean and the machine hygienic.
  5. Run the automatic cleaning cycle and descale on schedule. A clean machine lasts longer and tastes better.

Frequently asked questions

What size coffee machine does my office need? Allow two to three cups per coffee drinker per day. Teams of up to about ten suit the Saeco Royal OTC (20–30 cups/day) or one of our Gaggia machines. Larger teams of up to about 45 suit the Mythos Echo (120 cups/day).

Can I use any coffee beans in a bean-to-cup machine? You can, but freshly roasted whole beans give far better results than supermarket coffee. Avoid very oily, extra-dark beans, which can clog the grinder over time.

Is ground coffee okay? No. Bean-to-cup machines are designed to grind whole beans. Order KayRin coffees with the “Beans” option.

Can the machine make drinks for non-coffee drinkers? Yes. The Saeco Royal OTC, Saeco Magic M1 and Gaggia Cadorna Prestige all dispense hot water for tea, and the Gaggia milk carafes froth milk for hot chocolate.

Do you deliver? Yes. Shipping on all orders from our online shop is free.
